During the recruitment process, it is important to maintain documentation of the hiring process for each position. Establishing a set of standard interview questions, based on the position description and defining a method to rate applicants, is crucial in helping hiring managers identify potential candidates. In addition, the reference checks should be conducted by asking consistent questions of each referee with responses documented as part of the selection process.
As outlined in System Policy 33.99.01. applicants with Military Status are to receive hiring preferences based on the information provided on the application.
Hiring Documentation
Hiring documentation is necessary and must be provided to Engineering HR and Payroll to support the hiring decision.
- Candidate Ranking Spreadsheet (this will be provided to each hiring manager by the centralized HR contact)
- Interview notes for all candidates interviewed (including questions and responses and any details about the interview process)
- Reference checks conducted on the final candidate (it is recommended to contact three references but only one is required)
Engineering HR and Payroll will maintain documentation for applicants interviewed but not hired for the required retention period. Hiring divisions will maintain a position file on the hired applicant for the required retention period.
