International travel by employees or students may be subject to export control regulations. When traveling, be aware that taking information, technology, equipment or laptops out of the country may require an export license.
Consult with TEES Research Compliance if you are traveling to a sanctioned or embargoed country to conduct university activities, or you are taking any of the following: encrypted software, export controlled items/information, unpublished research data or data not in the public domain.
The travel request must be submitted through the Emburse system (access through Single Sign On) and fully approved prior to your departure date. We recommend submitting requests for international destinations at least 30 days in advance, especially during peak travel times.
Travel to Countries of Concern for professional purposes is prohibited in accordance with Governor Abbott Executive Order GA-48 and System Regulation 15.05.04.
A detailed daily itinerary and invitation letter (if one exists) must be attached to the request in the Emburse system.
When traveling to attend or present at a conference, the following must be attached to the request in the Emburse system:
- Name of conference (no acronyms)
- Link to conference website (if available)
- Name of conference host (if known) or conference registration (if available)
When traveling to collaborate with others, the following must be attached to the request in the Emburse system:
- Full name(s) of known collaborators and their affiliated entities (no acronyms or abbreviations)
- Full name of known companies or institutions being visited (no acronyms or abbreviations)
